The One-on-One meeting Event Planner serves as the primary resource to manage all the booking for Gartner analyst one-on-one meetings and team meetings. The One-on-One planner is also responsible for calendar management, internal and external customer care and providing a first class attendee experience. Primary Responsibilities: Ensure an exceptional experience for all event attendees having a one-on-one meeting with an analyst Set up the online one-on-one booking system for each event, working with the program management team and content team to ensure the agenda is up to date Continuous capacity panning, ensuring there is adequate analyst time available to meet demand Work with the operations team on space requirements Manage regional and team mailboxes ensuring all internal and external queries have been answered in a timely manner Confirm all One-on-One bookings Manage all team meeting inquiries Travel to events and managing the booking desk and check-ins for all meetings on-site Analyst point person for operations both pre-event and on-site Confirm staffing support for the one-on-one booking desk on-site Build productive relationships within internal and external clients, helping to support and train Gartner associates on the booking system Effectively communicate, collaborate and maintain relationships with clients and team participants Adhere to expense management practices Work with the team on suggesting improvements to the booking system Help in the production of the analyst bio board for on-site Ensure that all reports are distributed to the team as required Complete all post event analysis of the one-on-one meetings Key contacts: Events Production team, Event Sales team and Events Marketing team together with other business units including Account Executives and Executive Programs All event attendees for multiple events as well as event partners in all regions Expected Result: Flawless client experience Attendee and sponsor retention Global operational effectiveness (scalable and consistent processes) Engagement and effective management of external partners and local teams Achievement of financial objectives Timely response within 24hrs for any queries #L1-LM2 Job Requirements: Professional Experience: Ability to manage multiple tasks simultaneously and prioritize workload Key Competencies: Strong client focused/ customer service skills Team player - reliable, accountable High sense of urgency Strong oral and written communication skills Strong organizational skills Ability to work issues through to resolution Proactive Decisive Communicative and collaborative Fully competent in Microsoft Office Competent Project Manager #L1-LM2
